If you’re a company that uses Google services for your practices, G Suite is going to make things much easier for you.
“Productivity is a team sport,” says Scott Johnson, Director of Real Time Communications for G Suite by Google Cloud at a keynote at Enterprise Connect 2017. “What we’ve focused on is removing friction.” That comes in the form of major updates to communications applications for G suite.
During the keynote, these updates were visualized in the form of a fictional company: Cloudy Coffee.
Cloudy Coffee already uses Google Hangouts for team chats and meetings. In this scenario, Cloudy Coffee has upgraded to the newly announced Google Hangouts Meet and Chat as part of a single portal, called a room, that brings multiple aspects of G Suite into one place.
Google rooms allow for real time conversations that are threaded in order to be pulled apart. In general, Chat messages often touch on multiple action items. With Google room, Cloudy Coffee can separate the conversation and attach messages to specific action items in order to store content and information in a thread dedicated to specific action items.
Since Google rooms are connected to G Suite, permissions are automatically granted based on permissions given out in different applications. So you don’t have to worry about adding the right people to the right conversations.
Then there are the bots. Google rooms utilize a host of bots that can automatically perform different tasks within the portal. For example, Asana will create tasks in Chat. So if you simply type in “@Asana Ad Benefit Index @Steve” Asana will assign the task of creating an ad benefit index to Steve. Or Meet for scheduling. Type in “@meet schedule a meeting for tomorrow with @Steve,” Meet will look in your calendars and find a time that works for both to schedule a meeting. It will even use machine learning to identify preferences, for example Steve may prefer to meet in the afternoon. If you don’t like the chosen time, simply tell Meet to choose another.
Speaking of Google Hangouts Meet, Cloudy Coffee has never joined meeting so easily. Within Google rooms, it is a one-click entry to a meeting. Code size for meetings have been dramatically reduces so it loads more quickly. First you’re taken to a green screen, where you can ensure your preferences for videoconferencing are met. For example, you can mute your microphone or block your camera, or change your display settings. Then you just click join when you’re ready, and you’re in.
Outsiders can easily join as well – no plugins, no downloads, just join. For those without a connection, dial-in options are also available to join by phone.
Google has also released a hardware piece called a Jam Board, an interactive digital whiteboard that pairs automatically with Google rooms. Write with a stylus, erase with your finger, and since it’s all in the cloud content is saved automatically. Meanwhile, apps for Jam Board allow anyone with an iOS or Android device to interact with the content in real time as well. No need for a physical Jam Board.
